This is an exciting opportunity to be a part of an AJ100 top practice renowned for our excellence in architecture and heritage/conservation consultancy.

We are seeking a Business Support Coordinator to join our Business Management team as a maternity cover, based in our Colchester studio. You will be reporting to the Business Management Director and have previous experience in a similar varied role. We are looking for someone with good commercial awareness, ability to problem solve, have experience within an architecture practice and embody our values of quality, team, energy, respect and evolution. There will be a period of handover at the start of employment and at the end of the contract.

Your role will include:

Assistance to Board Members

  • Assistant to Chairman and Operations Director, including all diary updates, travel, organising meetings & meeting support

 Legal and Regulatory Compliance – ISO 9001, 14001 & OHSAS 18001

  • Organising and attending internal compliance audits and reporting
  • Management review meetings/actions
  • Keeping up to date with legislation registers
  • Liaising with SGS scheduling, planning, communication with office re: external audits
  • Support Office Managers for external audits
  • Communicating audit findings
  • Review/ monitor audit actions to ensure completion
  • Document Updates
  • Promoting ISO awareness
  • Quarterly Client Satisfaction Surveys (Survey Monkey) and feedback to relevant parties
  • ISO Compliance PQQ/Tender Assistance

 Health and Safety

  • Consultants, liaison & regular meetings
  • Training, awareness and advice
  • Regular inhouse campaigns
  • Online training- promotion, sharing data
  • CSCS – record keeping
  • PQQ/Tender Assistance

 Risk Management

  • Keeper of Professional Indemnity (PI) schedule and up to date records
  • Regularly gathering progress updates for PI related project issues
  • Annual PI Insurance Renewal
  • Organise and attend 6 monthly PI meetings with brokers/CEO
  • PI De minimis records to Broker March, June, September, December
  • Liaison with PI broker & Commercial Manager for review of client contracts
  • PI – PQQ/Tender Assistance

 Properties & Facilities

  • Business rates – valuations & queries
  • Utilities – oversee green/competitive tariffs

 Corporate Memberships and Subscriptions

  • Annual renewals and any queries associated with:
  • Chartered RIBA
  • CHAS
  • Constructiononline

 Intranet Updates

  • Updating the practice Intranet with departmental data as and when required.
